Tasks and Projects

The Tasks section lets you manage internal company activities, organise them into projects, and track deadlines, priorities, and progress.

How to access

Interface

Filter bar

At the top of the page you will find controls to filter the list:

  • Project — filter by a specific project or show tasks with no project (visible in List view only when projects exist).
  • Priority — filter by priority level: All, Critical, High, Medium, Low.
  • Due date — show only tasks with a due date on or before the selected date.
  • — clears all active filters in a single action.
  • New project — opens the form to create a project.

Active / Completed tabs

Two tabs separate open tasks from finished ones:

  • Active — tasks with status To do. Shows a badge with the total count.
  • Completed — tasks with status Done.

View selector

In the top-right area a view selector provides two options:

  • List — flat, paginated list of all tasks. When projects exist, a project filter becomes available.
  • Grouped — tasks divided by project in collapsible sections. This view becomes the default as soon as at least one project is created.

Task row information

Each task row shows:

  • Checkbox — marks the task as complete (or reopens it).
  • Text — task title. Completed or cancelled tasks appear with a strikethrough.
  • Priority badge — coloured label with the level (Critical, High, Medium, Low); hidden on closed tasks.
  • Due date — calendar icon with the date; displays Today or Tomorrow when applicable; overdue dates appear in red.
  • Assignee — avatar with the initial of the assigned user's email (when set).
  • Team icon — two-person icon on team-scoped tasks that are not assigned to a project.
  • Actions menu — three-dot menu that appears on hover; lets you edit, mark as done, reopen, cancel, or delete the task.

Grouped view by project

In Grouped view tasks are organised into sections:

  • Each section shows the project name with its colour, a badge with the task count, and (on medium and large screens) a To do / Done tally.
  • Sections can be expanded and collapsed by clicking on the header.
  • Tasks with no project appear in a No project section at the bottom.
  • Tasks whose project has been archived appear in a separate Unknown project section.
  • Each section has a menu (three dots) to edit or archive the project.

Project archive

At the bottom of the page a Show archived projects link expands the list of archived projects, where you can restore them.

Operations

Creating a task

List view:

  1. At the bottom of the active task card there is a quick-compose field.
  2. Type the task text and press Enter or click the + button.
  3. Before submitting you can set: priority (flag icon), due date (calendar icon), project (folder icon), visibility (person / people icon).

Grouped view:

  1. At the bottom of each project section there is a quick-compose field already associated with that project.
  2. The process is identical to List view.

Editing a task

  1. Hover over the task and open the ... menu.
  2. Select Edit.
  3. In the edit dialog you can update: text, extended description, priority, due date, project, visibility.
  4. Click Save to confirm.

Changing a task's status

  • Complete: click the checkbox on the left of the task, or open the menu and choose Mark as done.
  • Reopen: click the checkbox again on a completed task, or choose Reopen from the menu.
  • Cancel: open the menu and choose Cancel task. The task remains visible in the Active tab with strikethrough text.

Reordering tasks

Active tasks can be reordered by dragging them using the handle (six dots) that appears on hover on the left side. Drag-and-drop reordering is available in both List view and Grouped view (within each project section). The order is saved automatically.

Creating a project

  1. Click New project in the filter bar.
  2. Enter a name (required), an optional description, and choose a colour from the ten available presets.
  3. Click Save.

Editing a project

  1. In Grouped view, open the ... menu next to the section name.
  2. Select Edit project.
  3. Update the name, description, or colour and click Save.

Archiving a project

  1. In Grouped view, open the ... menu next to the section name.
  2. Select Archive project and confirm.
  3. The project disappears from the active view. Tasks already open or completed remain visible in their respective sections until the next reload.

Restoring an archived project

  1. Click Show archived projects at the bottom of the page.
  2. Find the project and click Restore.

Deleting a task

  1. Open the ... menu on the task and choose Delete.
  2. Confirm in the dialog.
  3. A notification appears with the option to undo the deletion within 5 seconds.

Visibility — who sees what

Task visibility depends on the scope and project membership:

In summary:

  • Administrator — sees all tasks in the tenant without exception.
  • User — sees tasks in projects they belong to, team-scoped tasks with no project, and their own personal tasks.

When using the quick-compose field, the scope is automatically set to Team if a project is selected, or to Personal if no project is chosen. The scope can be changed manually using the person/people icon.

Status messages

  • No tasks — when the list is empty, an empty-state message appears with a checklist icon.
  • Loading — while data is being fetched, a Loading... message is displayed.
  • Task deleted — undo — after deletion, an orange notification with an Undo button is available for 5 seconds.
  • Save error — if an operation fails, an error toast is shown.
  • Grouped view truncation — if the number of tasks exceeds the display limit, a message at the bottom of the list indicates Showing X of Y tasks.

Notes and limits

  • Manual drag-and-drop reordering is available in both List view and Grouped view (within each section).
  • Pagination (previous/next page navigation) is available only in List view.
  • In Grouped view the project filter is not available (sections already split tasks by project).
  • Tasks from archived projects do not disappear: they remain visible in Grouped view in a separate "Unknown project" section.
  • The quick-compose field is present only in the Active tab; to add tasks in the Completed tab use the edit dialog and change the status.
